CANADA
Student Authorization Related Withdrawals
In case of a visa refusal, a full refund minus the non-refundable fees as well as fees for any services rendered such as accomodation placement and shipping fees can only be made if the student provides the letter of refusal issued by the embassy at least 14 days prior to departure. After this date, we will consider the participation of the student as confirmed and cancellation / rebooking fees will apply.
In the case where the visa has not yet been issued 15 days before departure, we strongly recommend postponing the course. In this case, the first rebooking fee will not be charged.
Non-Student Authorization Related Withdrawals
This policy applies for the schools in Montreal, Calgary, Ottawa and Toronto. In the case of cancellations prior to the course start, the refund policy will apply:
- 28 days or more before course commencement: 10% of total fees, max. 200$ or equivalent
- Between 15 and 27 days before course commencement: 20% of total fees, max. 400$ or equivalent
- Between 1 and 14 days before course commencement: 20% of total fees, max. 800$ or equivalent
- Thereafter, 20% of the total fee is required, max. 1250$
Students who enroll in Vancouver or Victoria and withdrawal for reasons unrelated to student authorization will be refunded all money paid, less any non-refundable fees.
Refunds After The Program Of Study Starts
- a) If written notice of withdrawal is received by GEOS, before 10% of the program of study is completed, GEOS may retain 30% of the total unused tuition and registration fees.
- b) If written notice of withdrawal is received by GEOS, after 10% and before 30% of a program of study, GEOS may retain 70% of the total unused tuition and registration fees.
- c) If a student withdraws after 30% of the program of study's duration, no refund shall be issued.
- d) If a student is dismissed from a program of study for not adhering to the GEOS Code of Conduct, no refund will be given.
Please Note:
In the unlikely event the school won’t be able to create a group course due to it not having enough students at the same time/level, smaller group or Private Tutorials for a reduced amount of lessons will be provided instead (20 lessons = 12 privates / 30 lessons = 18 privates).
Regulations for Canada
1. If the institution receives tuition from the student, or a person on behalf of the student, the institution will refund the student, or the person who paid on behalf of the student, the tuition that was paid in relation to the program in which the student is enrolled if:
(a) the institution receives a notice of withdrawal from the student no later than seven days after the effective contract date and before the contract start date;
(b) the student, or the student’s parent or legal guardian, signs the student enrolment contract seven days or less before the contract start date and the institution receives a notice of withdrawal from the student between the date the student, or the student’s parent or legal guardian, signed the student enrolment contract and the contract start date; or
(c) the student does not attend a work experience component and the institution does not provide all of the hours of instruction of the work experience component within 30 days of the contract end date.
2. The institution will refund the tuition for the program and all related fees paid by the student or a person on behalf of the student enrolled in the program if the student is enrolled in the program without having met the admission requirements and did not misrepresent his or her knowledge or skills when applying for admission.
3. If a student does not attend any of the first 30% of the hours of instruction to be provided during the contract term, the institution may retain up to 50% of the tuition paid under the student enrolment contract unless the program is provided solely through distance education.
4. Unless the program is provided solely through distance education, if the institution receives a notice of withdrawal from a student:
(a) more than seven days after the effective contract date and
i. at least 30 days before the contract start date, the institution may retain up to 10% of the tuition due under the student enrolment contract, to a maximum of $1,000.
ii. less than 30 days before the contract start date, the institution may retain up to 20% of the tuition due under the student enrolment contract, to a maximum of $1,300.
(b) after the contract start date
i. but before 11% of the hours of instruction to be provided during the contract term have been provided, the institution may retain up to 30% of the tuition due under the student enrolment contract.
ii. and after 10% but before 30% of the hours of instruction to be provided during the contract term have been provided, the institution may retain up to 50% of the tuition due under the student enrolment contract.
5. Unless the program is provided solely through distance education, if the institution provides a notice of dismissal to a student and the date the institution delivers the notice to the student is:
(a) before 11% of the hours of instruction to be provided during the contract term have been provided, the institution may retain up to 30% of the tuition due under the student enrolment contract.
(b) after 10% but before 30% of the hours of instruction to be provided during the contract term have been provided, the institution may retain up to 50% of the tuition due under the student enrolment contract.
6. If the institution provides the program solely through distance education and the institution receives a student’s notice of withdrawal or the institution delivers a notice of dismissal to the student and:
(a) the student has completed and received an evaluation of his or her performance for up to 30% of the hours of instruction to be provided during the contract term, the institution may retain up to 30% of the tuition due under the student enrolment contract, or
(b) the student has completed and received an evaluation of his or her performance for more than 30% but less than 50% of the program, the institution may retain up to 50% of the tuition due under the student enrolment contract.
7. The institution will refund fees charged for course materials paid for but not received if the student provides a notice of withdrawal to the institution or the institution provides a notice of dismissal to the student.
8. Refunds required under this policy will be paid to the student, or a person who paid the tuition or fees on behalf of the student, within 30 days:
(a) of the date the institution receives a student’s notice of withdrawal,
(b) of the date the institution provides a notice of dismissal to the student,
(c) of the date that the registrar provides notice to the institution that the institution is not complying with section 1(c) or 2 of this policy, or
(d) after the first 30% of the hours of instruction if section 3 of this policy applies.
9. If an international student delivers a copy of a refusal of a study permit to the institution, sections 1(a), 1(b), 4, 7, and 8 of this policy apply as if the copy of the refusal were a notice of withdrawal, unless:
(a) the international student requests an additional letter of acceptance for the same program that was the subject of the refusal of a study permit, or the program is provided solely through distance education.
USA (Boston)
Students Right To Cancel:
If the institution drops a program, all monies will be refunded to students. If an international student is not able to obtain a visa to enter the United States, a full refund of all monies paid, less the registration fee and document shipping fee (as shown as not refundable on the enrollment agreement), and all other fees for services rendered, will be made to the applicant after the school receives a copy of the U.S. consulates visa denial letter from the student. The combined total of all fees retained by the school shall not exceed $350.
Refund Policy/Calculation: Full-Time Courses
(Intensive English/TOEFL)
Cancellation (prior to the first day of class)
If an applicant accepted by GEOS cancels for any reason prior to or on the first day of class, he/she will receive a full refund of all monies.
Withdrawal (after start of class)
The term of enrollment varies for each student based on the number of weeks specified on his or her enrollment documents. Refund calculations for students who withdraw after the beginning of their classes is based on the term of enrollment.
- If notice of withdrawal is received by GEOS, or a student is dismissed within the first 4 weeks of the program of study’s duration, GEOS will retain the full 4 week price of tuition and will refund the remaining amount of paid tuition.
- If notice of withdrawal is received by GEOS after 4 weeks of the term of study and before the midpoint of the term, GEOS will retain the full price for the number of weeks completed and will refund the remaining amount of paid tuition.
- If a student withdraws after 50% of the course completed, no refund will be given.
- If an already enrolled student who enrolls for additional terms of study withdraws before the midpoint of their new term, GEOS will retain the full price for the number of weeks completed and will refund the remaining amount of paid tuition up to the midpoint of the new term. There will be no refund after the midpoint of the new term.
- GEOS is not obligated to make any refunds to students who are terminated due to the violation of its written disciplinary and/or attendance policies or local, state or federal law.
Refund Due Dates:
- All refunds will be paid within 45 calendar days of the first day of the term for those students that cancel.
- All refunds will be paid within 45 calendar days of written notification for those students that withdraw.
- Students who enroll at GEOS through an agency should collect their refund from that agency directly.
Please Note:
All tuition discounts or special offers are dependent upon completion of the total contracted weeks of study. If a student withdraws or shortens their course after the first day of class, but before completing 50% of their contracted number of weeks, the student will be charged the prorated price for the number of weeks completed when calculating a refund.
Refund Policy/Calculation: Part-Time Programs
(All Programs Other Than Intensive English / TOEFL)
Cancellations
If a program is cancelled by the institution all monies will be refunded to students.
If a student does not appear at the school for their classes, and later asks for a refund, the institution will refund all monies paid by the student, less the registration fee (as shown as not refundable on the enrollment agreement), and all other fees for services rendered.
If a student cancels a contract prior to the class start date, all refunds due will be made within 45 days of the first scheduled day of class or the day of cancellation, whichever is sooner. For enrolled students, the refund due will be calculated through the last day of attendance and will be paid within 45 days from the documented date the student drops from the program.
Refund Calculation
If notice of withdrawal is received by GEOS on the first day of class and through the midpoint of the contracted term of study, GEOS will retain the full price for the number of hours completed and will refund the remaining amount of paid tuition. After the student has completed 50% of the contracted term of study no refund is due the student. Charges for extra costs such as books, supplies or equipment, and registration fees are not subject to these refund computations. For students who cancel prior to the class start date, refunds will be made within 45 days of the first scheduled day of class or the date of cancellation, whichever is sooner. Refunds for enrolled students will be paid within 45 days of the documented drop date.
Please Note:
No refunds are made after the student has completed more than 50% of the program of instruction. Students who are dropped administratively due to violations of school policies are not eligible for refunds.
Classes must be cancelled the day before the scheduled lesson. Same day cancellations will be forfeited. All cancellations and schedule changes must be made through the school office – no exceptions. For semi-private tutoring classes, absences can not be made up or rescheduled.
In the unlikely event the school won’t be able to create a group course due to it not having enough students at the same time/level, smaller group or Private Tutorials for a reduced amount of lessons will be provided instead (20 lessons = 12 privates / 30 lessons = 18 privates).

GEOS NYC Cancellation and Refund Policy for Full-Time Courses
Cancellation Policy (prior to or before starting class on the 1st day)
If an applicant accepted by GEOS cancels for any reason prior to or before starting class on the 1st day, he/she will receive a full refund of all monies.

Withdrawal Policy
Notice of cancellation must be in writing, and a withdrawal may be effectuated by the student's written notice or by the student's conduct, including, but not necessarily limited to, a student's lack of attendance.
- In case of a visa refusal, a full refund minus registration fees will be given.
- If notice of cancellation is made prior the first class or before 30% of the course completed, GEOS shall refund 100 percent of the amount paid for institutional charges, less the registration fee and/or other non-refundable fees as outlined in the school catalogue and enrollment agreement. All reistration fees retained up to a maximum of $250.
- Students who have completed 60 percent or less of the period of attendance shall receive a pro-rate refund (total tuition, divided by the number of days in the program, minus the number of days attended). There is no refund for students who have completed 61% or more of the period of attendance.
- All refunds will be made within 45 days of a student's cancellation or withdrawal. Students who enroll at GEOS with an overseas agency should collect their refund from that agency directly.
- A $250 non-refundable fee is included in the cost of tuition. This includes a $190 enrollment processing fee and a $60 supplemental materials fee. If the total tuition is less than $250, there are no additional fees for processing and supplemental materials.

Cancellation:
You may cancel your enrollment at any time prior to the commencement of your course. In worldwide locations, the following cancellation fees will apply.
- Cancellation up to 28 days before course commencement:10 % of total fees, max. 200€ / £200 / $350 or equivalent
- Cancellation between 15 to 27 days before course commencement: 25 % of total fees, max. 300€/ £250/ $500 or equivalent
- Cancellation between 1 to 14 days before course commencement: 50 % of total fees or max. 600€/ £500/ $800 or equivalent
Thereafter, 90% of the total fee is required, max. 1000€/ £850/ $1,250.
If you should cancel/withdraw after the commencement of your course, no refund shall be issued.
In case of a visa refusal, students are entitled to a full refund less registration fees.
If you prefer, you have the option of purchasing cancellation insurance. This is 2% of the total amount (with a minimum purchase of $ 75). The insurance fee must be settled at the time of registration and will only apply if you cancel prior to departure due to health reasons (a written confirmation from the relevant doctor is required as proof).
In the unlikely event the school won’t be able to create a group course due to it not having enough students at the same time/level, smaller group or Private Tutorials for a reduced amount of lessons will be provided instead (20 lessons = 12 privates / 30 lessons = 18 privates).
Under the rare circumstance that we would be forced to cancel, all fees paid for GEOS Languages PLUS services will be refunded. The minimum number of participants for exam preparation courses is 4 students.
Rebooking (applies to all locations)
Changing a booking (e.g. arrival date, accommodation, etc.) up to 28 days before departure we will incur a fee of $65. We will do our utmost, but cannot guarantee the fulfillment of the request made since extra costs may incur. In that case, the rebooking charge may exceed $65.
